Privacy notice

Matters Board is an internal tool used by one person: the principal of Teodoru IP, Britannia IP and Chronos IP. It is not a public service and it has no other users.

What it does

The application reads one firm mailbox through the Gmail API on a schedule, using the read-only scope https://www.googleapis.com/auth/gmail.readonly. It assigns each relevant message to a client matter and lists the threads that need attention.

What it never does

• It never sends, drafts, labels, modifies or deletes mail.
• It never contacts clients or any other correspondent.
• It never computes a legal deadline or time limit.

What it stores

Message metadata (sender, recipients, subject, date, Gmail identifiers and labels), the short Gmail snippet, reference numbers extracted from the correspondence, the result of the assignment and, where enabled, a one-sentence summary.

Full message bodies and attachment files are not stored. Where the text of a PDF attachment is needed to identify a reference number, it is extracted in memory and discarded after the message has been classified.

Processors

Message text is sent to the Anthropic API only where the deterministic rules cannot assign a message, and only the limited fields needed for that decision, truncated to a configured maximum. No other third party receives correspondence data.

Access and retention

The application runs on a private server, behind a password, and is reachable only over HTTPS. Records are kept for as long as the corresponding matter is live. Google access can be withdrawn at any time from the Google account's third-party connections page, which stops all further reading.
